Who determines the best multifunction laser printer?
What criteria is used?
What criteria is often overlooked?
Is environmental impact high on the list of criteria? Should it be?
What determines ease of use? How high on the criteria list should it be?
The criteria used for evaluating is usually: cost of equipment, speed of various functions, paper capacity, speed of first print out and first copy out, speed of faxing.
Consumable costs are usually thought to be approximately the same between vendors as well as service costs and are not looked at closely.
BIG MISTAKE!
Consumable costs are king - if you don't realize this you could well spend literally thousands of dollars that you don't have to.
Most costs for laser color toner are about 10 cents per page. This is based on an industry standard of 20% coverage; 5% each of black, cyan, magenta, and yellow.
As your number of monthly prints increase so does your consumable spend. Simple - but your consumable spend is also affected by coverage - think it's not important? Consider printing 50 color pages/day, making 45 color copies/day, and printing 5 color faxes/day - This would be 100 color pages per day x 5 days/week = 500/week x 52 weeks = 26,000 color pages per year x 5 years = 130,000 total color pages x 10 cents/page = $13,000 spent on consumables.
If you increase your toner coverage to 22% it represents an increase of 10% & you also increase your spend by 10% - in this case an increase of $1300 & $1300 for each additional 2% increase of coverage.

Yes, you're right - the image above would cost over 50 cents to print or copy on most color laser printers/multifunction devices.
Is there a solution to the coverage problem? Yes - you need to find a company that will offer a fixed cost per page regardless of coverage.

Third - Ease of Operation
One of the major complaints and a job that no one wants to do is to change toner cartridges in a laser printer - it's messy and time consuming - clothing sometimes gets damaged or dirtied. This is no longer a problem with solid ink - please watch this short video for a great look at the ease of changing solid ink supplies.
Changing toner is not a one time problem - How many times will this be necessary during the next five years? Would your employees enjoy changing to solid ink technology?

I began my search for a free printer because I was tired of my current HP Color Laserjet costing me so much to print on - and because I cannot afford to keep getting it repaired. Most free printer offers sounded great, until I realized that I still had to buy all of my supplies. I could see that I would just end up in the same boat as I am currently in.
Then, while searching for other free color printing offers, I found a site called www.TheFreePrinter.com. It was not just a free printer offer - they include all of the supplies for free. Their setup is more like an electric company, you pay a low usage fee and you get everything without having to buy everything.
They only charge 10 cents for full color prints. As with all of the free printer offers there is a minimum usage fee, but it is only 1000 color prints per month. The other popular Phaser offer I was looking at had a 2000 print minimum and I would have had to buy all of the supplies. No thanks, I will choose the 1000 color print minimum and not pay for any supplies. After all, both offers are for a Xerox Phaser printer with first party Xerox supplies and first party Xerox service. The only difference is one comes with supplies and only has a 1000 print minimum.
The other thing I liked about the offer is that all of my black and white prints are under two cents - I think it is only 1.9 cents to be exact. And they don't have a minimum on black and white printing, so I can print as few as I want. I ended up printing a lot of black and white on mine though because 1.9 cents is cheaper than our big copier that is on a cost per copy plan.
I hope ths helps. They have a lot of other stuff on the site that explains it better than I can. As far as the customer support, they have someone call when the machine arrives and they set it all up for you virtually which was pretty cool. It is one of those Webex meetings where they put the free supplies shopping cart right on you computer. Great customer service.

Color Toner Coverage - "The Silent Siphon"
Not knowing your true cost per color page can literally cost a business thousands of dollars over the life of the printer. The standard cost put forth by printer manufacturers is $0.10 per color page @ 20% coverage (which they claim is an industry standard). The chart below shows your cost of printing for 5 years at 20% coverage and above. It's a real eye opener - BTW - most of our customers have said that their average coverage is more in the 32% coverage range!

At this point most folks are saying,"that's all pretty interesting, but how do I know what my coverages are?"

This image is one that I sent to Xerox for a coverage/cost quotation. Notice that the cost per page increases with the coverage %. Notice also that the photo quality creates coverage at 254% - quite a bit different than what you are normally quoted by a sales rep.
Not knowing your color coverage can be very expensive.
Final note - There are 4 levels of quality shown. This is normal and most printers are delivered with the default quality set at 1 level below the best (photo in this case).

To summarize, If your current printer/copier supplier is not talking about toner coverage - think about an alternative source for your office equipment. The normal dialogue for an office copier/printer rep is, "Mine is less expensive". As you have now seen, the original price of the equipment is far overshadowed by the total cost of operation (TONER, TONER, TONER!!)
